Privacy Policy

Last Updated: March 15, 2025

At Neotecsys, we take your privacy seriously. This policy explains how we collect, use, and protect your personal information when you interact with our educational services. We're committed to transparency and complying with Taiwan's Personal Data Protection Act (PDPA) and international privacy standards.

1 Information We Collect

We collect different types of information depending on how you interact with our database programming courses and services. Here's what we gather and why:

Personal Information You Provide

When you register for our programs or contact us, you voluntarily share information with us. This includes your name, email address, phone number, and educational background. If you enroll in paid courses, we also collect billing information through secure payment processors.

Student Registration Data: When signing up for our autumn 2025 database programming cohort, we ask for your current skill level, preferred learning pace, and technical goals. This helps us tailor the curriculum to match your needs.

Automatically Collected Data

Our website collects technical information through cookies and similar technologies. This includes your IP address, browser type, device information, and how you navigate through our site. We use this data to improve user experience and troubleshoot technical issues.

  • Device identifiers and operating system details
  • Pages visited, time spent on each page, and click patterns
  • Referral sources that brought you to our website
  • Login timestamps and session duration for enrolled students
  • Course progress data and assignment completion records

2 How We Use Your Information

Your data serves specific purposes that directly benefit your learning experience. We don't use your information for unrelated marketing or sell it to third parties.

We send course-related emails about schedule changes, new learning materials, and program updates. You'll also receive occasional announcements about upcoming cohorts or new database programming topics. You can opt out of non-essential communications anytime through your account settings.

3 Data Sharing and Third Parties

We work with carefully selected service providers who help us deliver quality education. These partners access only the data necessary for their specific functions and are contractually bound to protect your information.

Our Service Partners

  • Payment Processors: Secure financial transaction handling for course fees and materials

  • Learning Management System: Course content delivery and student progress tracking

We don't share your personal information with marketing companies, data brokers, or social media platforms. If we're legally required to disclose data to government authorities or in legal proceedings, we'll notify you unless prohibited by law.

Taiwan Data Protection Compliance: All our data processing activities comply with Taiwan's Personal Data Protection Act. Our servers processing Taiwan student data are located in secure facilities that meet local regulatory requirements.

4 Your Privacy Rights

You have significant control over your personal information. Here's what you can request and how to exercise these rights:

Access Your Data

Request a copy of all personal information we hold about you, including course records and communication history.

Correct Inaccuracies

Update outdated or incorrect information in your student profile or enrollment records.

Delete Your Account

Request complete removal of your data from our systems, subject to legal retention requirements.

Restrict Processing

Limit how we use your information while maintaining your account and course access.

Data Portability

Receive your information in a structured format that you can transfer to another service.

Withdraw Consent

Opt out of marketing communications and non-essential data collection at any time.

How to Submit a Request

Send your privacy requests to help@neotecsys.com with "Privacy Request" in the subject line. Include your full name, registered email address, and specific details about your request. We'll respond within 30 days and verify your identity before processing requests that involve sensitive data access or deletion.

For Taiwan residents, you have additional rights under the PDPA, including the right to file complaints with the National Development Council if you believe we've mishandled your personal data.

5 Data Security Measures

Protecting your information is built into our technical infrastructure and operational procedures. We use industry-standard security practices tailored to educational environments.

  • Encrypted data transmission using TLS 1.3 protocol for all website interactions
  • Password protection with bcrypt hashing and mandatory complexity requirements
  • Regular security audits and vulnerability assessments by third-party experts
  • Access controls limiting staff permissions to necessary data only
  • Automated backup systems with encrypted storage and disaster recovery procedures
  • Multi-factor authentication for administrative accounts and sensitive operations
  • Employee training on data protection best practices and incident response

Despite our precautions, no internet transmission is completely secure. We recommend using strong passwords, keeping your login credentials confidential, and logging out after accessing course materials on shared devices.

6 Data Retention and Deletion

We keep your information only as long as necessary for educational purposes and legal compliance. Different types of data have different retention periods based on their purpose and regulatory requirements.

Retention Periods

Active Student Records: Maintained throughout your enrollment plus two years after course completion. This allows us to provide transcripts, answer questions about your coursework, and verify completion certificates.

Financial Records: Kept for seven years after the transaction date to comply with Taiwan tax regulations and accounting standards. This includes payment receipts, invoices, and refund documentation.

Website Analytics: Aggregated and anonymized after 26 months. Individual session data is deleted after 14 months unless needed for security investigations.

Marketing Communications: Removed immediately upon unsubscribe request, though transactional emails about active courses may continue as necessary for program delivery.

When you request account deletion, we remove personally identifiable information within 60 days. Some data may remain in backup systems for up to 90 days before permanent deletion. Course completion records required for certificate verification are anonymized rather than deleted.

7 Cookies and Tracking Technologies

Our website uses cookies to remember your preferences, keep you logged in, and understand how students interact with our learning materials. You control cookie settings through your browser, though some functionality may be limited if you disable essential cookies.

Cookie Categories

Essential Cookies: Required for basic site functionality like authentication, security features, and course navigation. These can't be disabled without breaking core features.

Performance Cookies: Help us understand which pages are most useful, where students get confused, and how to improve course delivery. These collect anonymous usage statistics.

Preference Cookies: Remember your language choice, display settings, and customization options to provide a personalized experience across sessions.

We don't use advertising cookies or third-party tracking for marketing purposes. Our analytics serve educational improvement, not commercial targeting.

8 Children's Privacy

Our database programming courses are designed for adult learners aged 18 and older. We don't knowingly collect information from minors without parental consent. If you're under 18 and interested in our programs starting autumn 2025 or later, please have a parent or guardian contact us to discuss appropriate enrollment procedures.

If we discover we've inadvertently collected data from someone under 18 without proper authorization, we'll delete that information promptly and terminate the associated account.

9 International Data Transfers

While Neotecsys operates primarily in Taiwan, some of our service providers maintain servers in other countries. When your data is transferred internationally, we ensure adequate protection through:

  • Standard contractual clauses approved by data protection authorities
  • Privacy Shield or equivalent certification programs where applicable
  • Encryption during transmission and storage across all locations
  • Regular audits of international partners' security practices

Students in Taiwan receive the same privacy protections regardless of where their data is physically processed. Our contracts with international vendors require them to meet Taiwan's data protection standards.

10 Changes to This Policy

We update this privacy policy periodically to reflect changes in our practices, legal requirements, or service offerings. When we make significant changes that affect how we handle your data, we'll notify enrolled students via email at least 30 days before the changes take effect.

Minor updates like clarifications or address changes are posted directly to this page with a new "Last Updated" date. We recommend reviewing this policy occasionally, especially before enrolling in new courses or updating your account information.

Continued use of our services after policy updates indicates acceptance of the changes. If you disagree with revised terms, you can close your account by contacting us before the effective date.
